Atlas AI / Case studies / AI policy rollout

AI policy without shutting innovation down.

Healthcare‑adjacent practice · ~45 employees · NC · AI Policy + Security

The challenge

Staff were already using consumer AI tools with patient‑adjacent and operational data — no inventory, no written rules, and rising anxiety in leadership. They needed governance that matched their risk profile without a morale‑killing “AI ban.”

Our approach

Atlas AI ran a policy & security starter package: shadow‑AI discovery interviews, vendor and data‑flow review, and a plain‑English acceptable‑use policy written for how the practice actually works. We aligned policy language with technical controls already in their IT stack (access, logging, approved tools) through our parent practice’s managed IT heritage.

Rollout included training sessions for managers and all staff — focused on livable rules, phishing awareness for AI‑generated content, and approved pathways for experimentation.

Results

Leadership gained a documented framework and a phased plan for approved tools. Staff reported the policy felt practical — it explained why certain uses were off‑limits instead of issuing vague bans. The office manager described it as a path forward that didn’t feel like shutting innovation down.
