Atlas AI / Case studies / Help desk AI drafting

Governed AI drafting inside the help desk.

Professional services firm · ~35 employees · Charlotte area · AI Integrations

The challenge

Support and operations staff were copying client emails into consumer chatbots to draft replies faster. It worked — until it didn’t: inconsistent quality, no audit trail, and client data leaving approved systems. Leadership wanted speed without opening a compliance gap.

Our approach

Atlas AI scoped a first integration sprint focused on one high‑volume workflow: first‑response drafting inside the help desk the team already used. We mapped data boundaries, selected models and connectors appropriate for their stack, and built drafting with templates tied to their tone and escalation rules.

Security review was part of the sprint — not a separate phase months later. We paired the rollout with short safe‑use training so staff knew what could be pasted, what couldn’t, and when to escalate to a human.

Results

Drafting happens where tickets already live. Shadow use of random chatbots dropped because the faster path was also the approved path. The operations lead reported the team “actually uses it” because it removed copy‑paste gymnastics instead of adding another login.
